Hugh mentioned that each committee should come up with a budget for the year.

Remember to get receipts for all reimbursement purchases. JoAnne mentioned that there is a problem getting our money from AHS for the renewals. We have not been paid since October. AHS is not sending the money or the names to OHS on a timely basis. Sharon mentioned that members should pay their dues directly to OHS and not to AHS – that way we can keep track of them. Hugh will talk to Warren about how to contact AHS.

JoAnne mentioned that the OHS savings account only earns 1% interest a year. Steve suggested moving to a money market account. JoAnne will check this out with the bank.

There is a check to the Oklahoma Jr. Horticultural Society for $500.00 from last year that has never been cashed – it is void.

There is a computer account for OHS now at the bank.

    3. Membership
    4. No report. Due to time constraints, Kathleen Ryan is turning her membership committee chair duties over to Lyle Henry.

    5. Programs & Publicity
    6. Russell Studebaker has contacted the office of Dan Hinkley or Heronswood Nursery to see about scheduling him as speaker for the OHS February, 2003 Winter Annual Meeting. Dan Hinkley is not being scheduled for 2003 until mid-May so Russell will continue to pursue this and find out if Dan is available to speak and how much it would cost.

The Fall meeting speaker will be David Stahle.

Hugh mentioned that the fall OHS board meeting will be held in Ponca City on October 27 and requested that Russell’s committee find a speaker for a public program after the board meeting. The board meeting is scheduled for 1:00 p.m. followed by a program at 3:00 p.m. at the Conoco meeting facility.

    7. Education & Publication
    8. Vicky Michalik reported that the newsletter has been expanded and now costs 57 cents each to mail. Vicky also passed out a list of ad rates per issue which are listed on page two of the newsletter.

Hugh reminded all board members to tell people about the ads and to have them contact Vicky.

Hugh mentioned that Lewis Scott at the Will Rogers Park Education Center in Oklahoma City was holding a summer art class for youth and that they were doing some artwork for the newsletter free of charge. He also reminded everyone that the newsletter is always in need of good articles.

    9. Garden Tour
    10. Sharon Beasley reported that all six gardens have been arranged for the tour and lots of volunteers are signed up to work.

Vicky needs the text of the gardens for the newsletter.

Russell suggested that complimentary tickets be given to people in outlying areas of the state to draw them in to the tour. He also mentioned that the event needs to be publicized earlier in order to get bus tours from areas other than Oklahoma City to the tour. The tour needs to be marketed statewide.

Shirley mentioned that Allan Storjohann’s radio program would be a good way to get the word out about the tour. A person can call in and talk about the tour.

Russell mentioned that we may need to move to a committee to find gardens for the tour as it is a large job for one person to come up with and finalize all the gardens.

There was considerable discussion about ticket availability and design. Tickets need to be available at a location for purchase prior to the day of the tour and they should have good maps to all the garden locations. JoAnne mentioned the possibility making the tickets available through a mail-in system. Sharon said that that would not work with the current ticket design as it was too large. This may need to be changed in the future to accommodate mailing.

Russell mentioned that Tulsa has a private tour the night before their garden tour for patrons at a cost of $75.00 each. This might be a possibility in the future for the OHS tour.

    11. Vaclavek Gold Medal Committee
    12. No report – tabled until July meeting. Committee members include George Vaclavek, Russell Studebaker, Marjorie Moesel, Pearl Pearson, and Dave Edwards.

    13. Youth Activities

Marjorie Moesel spoke to Dave Edwards about the OSU-OKC scholarship applicants. There was only one applicant this year. Marjorie suggested that the money for the second OSU-OKC scholarship be made available to a OSU Stillwater applicant for this year only as there were 5 applicants for the Stillwater scholarships. There was also $250 returned from OSU-OKC awardee Sheilah Wiser as she was unable to attend school last semester. Marjorie mentioned that this money should also be awarded. JoAnne moved that the $750.00 go towards scholarships in Stillwater for this year. Seconded by Steve Owens. Passed unanimously.

Scholarships will be as follows:

$500 – OSU-OKC Hugh Hedger scholarship

2 - $1000 – OSU Stillwater scholarships

1 - $500 – OSU Stillwater scholarhip (one year only)

1 - $250 – OSU Stillwater scholarship (one year only)

Marjorie reported that the Jr. Master Gardener program leader training meetings in Oklahoma were getting a good response.

Marjorie recommended that OHS consider subsidizing some of the state 4-H and FFA horticultural activities. Possibly by sponsoring some of the medals in 4-H in the horticulture area for $500/year. Some of the awards given in 4-H include the outstanding record book in horticulture and in FFA the horticulture profiency awards in floriculture, fruits & nuts, and the judging team. Marjorie would like to see OHS help these groups on a yearly basis. Brenda Sanders moved that Marjorie have the 4-H and FFA leaders submit a list of awards to OHS for consideration of sponsorship. Seconded by Steve Sprehe. Passed unanimously.

  1. Old Business
    1. OHS Statewide
    2. To expand the OHS membership, it was suggested that a horticulture lecture could be given before or after the OHS board meeting in various locations around the state – similar to the lecture planned for Ponca City in October. It was suggested that the same thing be done in Tulsa. Russell Studebaker will work on finding a location for a lecture/board meeting in Tulsa.

    3. Documentation of History

Nice article on history in the OHS newsletter. These will continue.

  1. New Business
    1. Woodward Station
    2. Joe Howell read a letter from the Woodward research station and asked if OHS members could help with cataloging trees, shrubs, etc. and help with a master plan. Russell moved that a committee be established to look at Woodward and come back with recommendations as to the best way to proceed with this. Seconded by Brenda. Passed unanimously. Volunteers for this committee include Joe Howell, JoAnne Vervinck, Steve Beiberich, and Steve Sprehe.

    3. Request for Funding for Children’s Garden
    4. Brenda Sanders requested funding for a city children’s garden in Stillwater. Tabled until the July meeting.

    5. Marketing Committee

Hugh reiterated the need to establish a marketing committee for OHS.

  1. Meeting Adjourned – 4:10 p.m.

Respectfully submitted,
